From packet to certificate, in detail.

Four stages. No app installs, no ID scans, no biometric matching. The shortest practical path from a property packet to a signed evidence record.

About a 3-minute read · real signing demo included.

One packet becomes a signed, usable record.

PreArrive is deliberately narrow: property packet, reservation link, guest acknowledgments, then a tamper-evident PDF certificate. The guest sees a mobile signing page; you keep the record.

Exact packet text

Rules, itemized fees, and arrival details as configured for that property.

Line-by-line consent

Each rule and fee gets its own tap before the drawn signature.

Evidence PDF

Signature, timestamps, IP addresses, and SHA-256 content hash.

Stage 01 Packet

Build a packet, once per property.

House rules, an itemized fee schedule, a short welcome, WiFi, door code, safety notes, and release timing. Three minutes if you copy our starter; less if you paste from your existing checkout email. The Airbnb "Additional Rules" block writes itself from the same data.

  • House rules: bullet list
  • Itemized fee schedule: each fee has a label, amount, and unit
  • Welcome message
  • WiFi + door code release after signing by default
  • Safety notes visible before signing
  • Optional logo + brand color
Stage 02 Send

Send a reservation.

Paste guest name, email, dates, and source (Airbnb / VRBO / direct). We send a branded email with a single signing link. Your color, your name in the from-line. No app for the guest to install.

  • Branded HTML email
  • Single signing link per reservation
  • Resend supported
  • Status moves from draft → sent
Stage 03 Sign

Guest taps and signs in ~90 seconds.

On the signing page the guest reviews the welcome, then taps each rule and each fee on its own line. Each tap is a separate acknowledgment. They draw a signature with their finger. We capture timestamp and IP at both click and signed-action.

  • Per-item acknowledgments. Never one blanket checkbox
  • Drawn signature (image)
  • Click IP + signed-action IP
  • About 90 seconds on mobile
Stage 04 Certificate

You get the certificate.

An immutable PDF lands in your inbox and shows up on the reservation. It contains the rules and fees exactly as the guest saw them, the drawn signature, both timestamps with IPs, and a SHA-256 hash of the packet content. Attach it to AirCover, your insurer, or a small-claims filing.

  • PDF certificate
  • Two-event audit trail (click + signed)
  • SHA-256 hash of packet content
  • Stays available for 7 years

Try the 90 seconds yourself.

The phone below is what your guest sees. Tap each rule, draw a signature, and watch the audit trail fill in — it's the same widget the live signing flow runs, with the certificate download wired up at the end.

Live audit trail RECORDING
Tap through the real guest UI. This trail becomes the PDF certificate.

Pairs with stage 04 · disclosure half

Disclosure and acknowledgment, both halves covered.

Airbnb’s Resolution Center weighs evidence — and what helps a host most is a fee that was disclosed in the listing and acknowledged by the guest. The certificate above is the acknowledgment half. PreArrive auto-generates a paste-ready “Additional Rules” block for your Airbnb listing field — the disclosure half — so the two sit alongside each other in the file.

Airbnb listing · Additional rules Paste-ready
Additional house rules — acknowledged before check-in via PreArrive.

By booking, the guest agrees to:
• No smoking anywhere on the property, incl. the porch. Remediation fee: $500.
• No parties or events. Unauthorized event fee: $1,500.
• Max occupancy 6. Extra unregistered guest: $100/guest/night.
• Checkout by 11:00 AM. Late checkout: $75/hour.

A signed, timestamped acknowledgment of these rules and fees is on
file before check-in. Certificate available on request.
